Camp Directors

Camp Directors will work with the Office of Human Resources & Compliance and the Payroll Office to ensure that all employment regulations are met when hiring a Counselor. In addition to items below, The Camp Director must also become familiar with the items on the page. Please direct your Camp Counselors to that page to review information and items that pertain to them.

Utilizing Volunteers:

Federal labor and wage laws limit how we can use volunteers. To ensure compliance, we must adhere to the conditions and procedures found in the Volunteer Packet. Volunteers will need to be approved by the Office of Human Resources & Compliance. Click here for the packet and additional details.

Contagious Disease Information:

Everyone associated with the summer camps (directors, counselors, volunteers, campers, etc.) is expected to exercise care to avoid spreading a virus.  Specifically, everyone should practice good coughing/sneezing etiquette, wash hands frequently, and camp participants should not report to camp if feeling unwell.

Memo to Camp Directors -- The Office of Human Resources & Compliance provides this annual memo to Academic Camp Directors by March.
Summer Camps Handbook -- Provides full information on procedures, FAQs and PeopleAdmin instructions.

Camp Employee Request List (Excel) -- Directors will use this form to provide a list of requested camp employees to be evaluated by the Office of Human Resources & Compliance for hiring/onboarding requirements.  This form can be submitted multiple times as additional candidates are identified.  Upon review, approved employees will be asked to apply and/or complete the assigned onboarding checklist. Camp employees will receive an Onboarding e-mail when tasks are assigned for completion.

All NEW camp employees, both students and non-students alike, are processed through the online hiring system (). Returning camp employees (if clearances are expired) and current Messiah employees (who are new to camps) will have required tasks through the onboarding system ().

Note: Camp employees may also submit a previously-completed training through the University of Pittsburgh.  However, camp employees who have not completed either training previously must complete the training in the Abuse Prevention System.

Campus Security Authority - Reporting for Summer Camp Employees - This document must be provided to every staff member and counselor you have working camps this summer. You are welcome to print this document for your own reference or post it in a space where all your staff have access to view the information.

As a reminder, every camp employee is considered a Campus Security Authority (CSA) under federal law and, as such, must fulfill their reporting obligations. Please see the CSA policy/procedures for more information.

Work Permit Letter -- Sample template for Camp Directors to prepare work permit letters to send to the issuing school district for an employed minor.

Parental Consent Form (PDF) -- Camp Directors must acquire a parental consent form for each child (minor, under 18 years of age). Camp Directors must keep this form on file in the event it needs reviewed by the University at a later time.
Camp Payment Form (Excel) -- Camp Directors will use this form to initiate payment for all counselors working for a specific camp.  For Camp Directors with multiple camps, this document should be submitted separately for each camp.
Counselor Training Manual -- Both Camp Directors and counselors must read and become familiar with the information contained in this document. Camp Directors should discuss key points with counselors.
Mandatory Reporters Memo -- Camp Directors must read and understand the information contained in this document.
Safety and Compliance Quick Reference -- Camp Directors must read and understand the information contained in this document. Camp Directors are advised to cover key points with counselors during camp orientation.
